Palouse Cares Colfax Minutes 9-17-12


Thank you for those who were able to attend the meeting tonight about the Palouse Cares food drive happening Colfax on December 1st (in conjunction with the effort happening also in Pullman, Moscow, Palouse, Potlatch, and Genesee). 

Thank you also to those who were not able to attend but contacted me and let me know you were willing to volunteer to help with this effort in some way.

And if you haven’t been in touch yet regarding Palouse Cares, you can still volunteer to help!   Please email me to let me know what you would like to do.

If you would not like to help and wouldn’t like to continue receiving these emails, please let me know as well!

Attached and copied below you will find the minutes of this first meeting for Colfax.  Our next meeting will be set for Monday, October 8th at 7pm at Colfax Roasuer’s Deli.

MINUTES

I.          INTRODUCTIONS and Sign-In
            ATTENDED:  Kirby Daily, Bob Krickack, Kathy Clark, Whitney Mueller

II.        COMMITTEE TASKS and Sign Ups
           
A.   Marketing –
i.  Reader boards: Please ask around to businesses to change reader boards they own/manage to “Palouse Cares Food Drive, Saturday December 1” beginning 11/1/12.
                        - Columbia Bank – Kathy Clark will ask
                        - Colfax Chamber – Kathy Clark will check in to, and send announcement 
                        - Cougar Food Mart
                        - Colfax Grange
                        - Arby’s
                        - Huber
                        -

ii.  Whitney will ask around to find volunteers to assist with Poster distribution  
B.   Food Drive –
i.    VOLUNTEERS – everyone please show up at 9am on 12/1 Saturday to go door to door to ask for food for a few hours
            - Please contact your local churches to ask for help recruiting volunteers!
            ii.   Boxes – need to ask to get these from some where
iii.  Transport to Food Bank:
                        - Kirby has asked Huber Action Freight and they are checking to see if they can help
            iv.  Weigh-in at Food Bank: 
- Whitney will ask to make sure CAC/COA can be there,
- Kibry will ask for volunteers to help   
            v.  Whitney will make a flyer for Volutneers with 501c3

C.   Silent Auction – Whitney will check with Rosauers to make sure we are Good to Go with space, etc.
i.    Procurement:
- ANYONE that can procure Auction Items is so appreciated!
- If asking for Pullman businesses, also ask for a donation to the Pullman Palouse Cares Auction.   
- Check with local photographers, etc. for donations
ii.   Fulfillment – CLOSES AT 8AM ON 12/1! MUST PRESENT TO WIN AND CLAIM from 8am to 11am on Saturday, December 1st!
D.   Fundraising –
            i.    Donation Bin – Whitney will ask Rosauers
E.    Day-of Event –
i.  Volunteer Check in and Map Coordination  - Kathy Clark, and Kathy will ask Debi to help
ii.   Refreshments   - Whitney will ask a service club to sponsor/provide/volunteer for
iii.  Entertainment – Whitney will call and ask local choirs for 20-minute entertainment slots
F.    MAPS –  
            i.   Whitney will ask Kathy Mayer to help
            ii.   One simple city map.  Break Packets into sections with lists of street names.   
G.   After Action
i.  Call Palouse Cares and Check in with Moscow/Pullman/Potlatch/Palouse/Genesee
ii.  Presentation of Check from Palouse Cares to Colfax Agencies at Colfax Lighted Christmas Parade on Thursday, December 6th
           
III.       CLOSE and adjourn    

            - next meeting will be at 7pm on Monday, October 8th in the Rosauers Deli
